Guidelines for Officers and Chairpersons
President: Conducts business meetings, asking for the secretary and treasurer report, old business and new business. The president appoints a program committee and a nominating committee (in April for following year) and other committees as needed (such as the December party and June picnic). The president assists and coordinates those committees as needed.
Vice President: Stands in for president when president is unable and assists the president as needed.
Secretary: Shall record complete minutes of the meeting and report at the following meeting, keeping permanent records.
Treasurer: Complete financial transactions for the organization, maintain checkbook, collect and record dues, give monthly financial reports, maintain membership list. (Additional financial responsibilities due to activities or fund raising may be assigned to a committee member of that event if deemed an undue burden on the treasurer)
Standing Committees and Positions
Publicity: Give timely notice to newspapers stating time and location of events, exhibits, meetings and speakers.
Exhibitor Coordinators:
Given Health, Williston and Essex Town Offices : Maintain Schedule for exhibits at the Essex Town office and the three Given Health Care offices in Williston. Coordinator will contact both exhibiting artist and the one who follows prior to the end of the month and will review schedule at the monthly meetings. Phoenix Books / Miniature Paintings Exhibits: Coordinate between location and EAL to arrange exhibit dates and hanging responsibilities.
Hospitality: Maintain a three-person volunteer refreshment committee per meeting, except December and June, to be served at 9:45 am (after the business meeting and before program). Those three people will be responsible for setting up refreshments and cleaning up the kitchen afterward, being sure to wash dishes thoroughly and put them away.
Special Trips or Events of Interest: Organize the event requesting assistance where needed.
Web Manager: Maintain the web site.
